WHAT WE CAN ACHIEVE TOGETHER

The R2A Operations Associate will work towards meeting strategic operations and administrative priorities of the Regenerative Ranching & Agriculture strategy by supporting the Strategy Director and the IKI EbA-R2A Program Manager and completing day-to-day tasks and activities. The coordinator will perform Calendar Management, Expenses Control, R2A Team Coordination, and Finance Administrative Tasks, including scheduling calls, processing forms, managing contracts/payments for external consultants, supporting internal income/expense reports for the Director, managing the operations of the R2A team (calls, news, awards) and monitoring budgets. In addition, they may assist with the recruitment and training of program staff and may direct the activities of volunteers. They may support the planning and execution of logistics for special events and/or meetings, purchasing, coordinating travel, lodging, meeting rentals and catering for events under R2A planning. They will use available systems and resources to maintain, track, and research data, and to produce and review reports. They will apply established processes and practices to improve effectiveness and to document program procedures for reference by staff. They may coordinate activities with multiple variables, set realistic deadlines and manage the timeline. The Coordinator may handle inquiries about business unit activities and assist in the development of program materials and correspondence. They will work cooperatively with Conservancy staff, providing information necessary to make decisions and solve problems. They will use TNC’s code of conduct and competencies as a baseline to conduct their actions and be an example for others. The Coordinator may communicate on behalf of their supervisor with internal and external sources, including staff, donors, vendors, and businesses to coordinate arrangements, convey information, and ensure successful execution of program.


WE'RE LOOKING FOR YOU

The R2A Operations Associate works with the Regenerative Ranching & Agriculture strategy and the multi-country Ecosystem-based Adaptation for Regenerative Agriculture (EbA-R2A) program in South America coordinating tasks related to one or more functional activities, such as operations support, procurement, meetings management, budget management and special events (workshops and events). This strategy is situated within the Global Provide Food and Water Sustainability strategy.

RESPONSIBILITIES & SCOPE
  • Coordinates strategic operational and administrative priorities for the R2A Regional Program reporting to the Regenerative Agriculture Director.
  • Manages calendars, meetings scheduling and meeting minutes for the Regenerative Agriculture Director.
  • Supports meetings scheduling and meeting minutes for IKI EbA-R2A Program Manager.
  • Manages specific technical exchanges and supports in reporting and basic communications as indicated by the supervisor.
  • Manages timely expense reporting for the Regenerative Agriculture Director and the IKI EbA-R2A Program Manager and complies with strict guidelines as set forth by donors.
  • Coordinates with the Finance team on R2A projects’ Budget and Funds Execution and organizes quarterly financial reviews.
  • Supports the IKI EbA-R2A Operations Programs Coordinator in specific tasks for large events, contract management.
  • Financial responsibility may include purchasing, processing invoices, contracting with vendors, and assisting with budget tracking.
  • Works collaboratively and closely with operations (Regional Office and Local Operations in countries) to guarantee all processes are aligned with TNC policies, procedures and practices.
  • Drafts and helps the structuring of contracts, publishes terms of reference and documents selection process and submits payments and amendments. Follows up the process until completion.
  • Support publishing, coordinating and managing interviews for Program positions and ensure compliance with time charging amongst staff.
  • Manages and maintains electronic shared files and folders (BOX).
  • Coordinates in-country operational and travel logistics for in-person and special events (salon rental, catering, equipment, translation services, flights, transportation, lodging). Leading at least 2 events on an annual basis for the Strategy and supporting some specific events’ tasks for the IKI EbA-R2A project.
  • Applies a process for financial and vendor management to ensure compliance of donor requirements.
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently.
  • Demonstrate sensitivity in handling confidential information.
  • Does not supervise any staff, but may supervise volunteers, interns, or temporary staff.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience; work is diversified and may not always fall under established practices and guidelines
  • May work in variable weather conditions, at remote locations, on difficult and hazardous terrain, and under physically demanding circumstances.
WHAT YOU'LL BRING
  • Bachelor’s degree in business, finance, administrative or related field, and a minimum of 5-years related work experience or equivalent combination of education and experience.
  • Experience in performing budget and administrative processes.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working and communicating with a wide range of people.

DESIRED QUALIFICATIONS

  • Multi-cultural or cross-cultural experience appreciated, Spanish and English.
  • Portuguese language knowledge desired.
  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems.
  • Ability to coordinate information from a number of sources to populate budgets, support reports, and produce manual files.
  • Ability to complete tasks independently within assigned time frames.
  • Ability to write and edit written materials for use with program communications and special events.
  • Database skills, including managing and tracking data, and producing reports.
  • Strong administrative skills including attention to detail and numerical ability.
  • Ability to plan, administer and record results of work-team meetings and activities.
